Terms & Conditions
These Terms and Conditions (“Terms”) govern your use of our services offered by GF Video Transfers (“we,” “us,” “our”) including but not limited to the conversion and transfer of VHS, VHS‑C, MiniDV, Video8, audio cassettes, cine film, CDs, DVDs and other media (“Media”) into digital formats including USB, MP4, DVD and other forms (“Services”). By submitting Media to us, you agree to be bound by these Terms.
1. Acceptance of Terms
By engaging our Services you acknowledge that you have read, understood, and agree to these Terms and all policies referenced herein.
2. Your Media & Ownership
2.1 You represent and warrant that you are the lawful owner of the Media submitted or otherwise have full authority to provide it to us for digitising.
3. Condition of Media
3.1 You accept that Media may be degraded, damaged, fragile, or unreadable due to age, wear, storage conditions, or prior use.
3.2 You acknowledge that we do not guarantee successful transfer of Media that is broken, warped, mouldy, cracked, or otherwise compromised.
4. Risk of Loss or Damage
4.1 We take maximum care handling Media, but you acknowledge that Media and data are inherently fragile and may incur damage or loss during transfer, handling or transit.
4.2 To the maximum extent permitted by law, we are not liable for loss or damage to Media or loss of content during the transfer process.
4.3 You agree to ensure that appropriate insurance is in place for Media you send by mail.
5. Transfer Process
5.1 We will attempt to convert your Media to agreed formats using industry‑standard techniques.
5.2 We cannot guarantee perfect quality, recovery of unreadable sections, or restoration of content beyond copying it to the best of our ability.
6. Data Storage and Backup
6.1 We retain your digital files for two weeks in case of any issues but are under no obligation to store them long‑term as stored digital files are erased after a month.
6.2 You should not rely on us for long‑term backup or safekeeping of digital content.
7. Delivery of Digital Files
7.1 Digital files will be delivered by USB, downloadable link (e.g., WeTransfer), DVD, or other agreed method.
7.2 We are not responsible for malfunction or compatibility issues with your playback devices.
8. Pricing and Payment
8.1 All quotes and pricing are valid as stated and may be subject to change.
8.2 Payment is due in full before or upon completion of Services unless otherwise agreed.
9. Cancellation & Refunds
9.1 Orders may be cancelled prior to conversion work commencing.
9.2 Once work has started, refunds will not be issued for partial or complete Services, except at our discretion.
9.3 If we are unable to read or convert your Media at all, we will inform you and refund any costs.
10. Warranty Disclaimer
10.1 We provide Services “as is” and make no warranties, express or implied, including but not limited to merchantability or fitness for a particular purpose.
10.2 We do not guarantee specific results, data recovery, or quality beyond standard transfer procedures.
11. Limitation of Liability
To the maximum extent permitted by law, our total liability for any claim arising out of or in connection with these Terms shall be limited to the amount you paid for the Services.
12. Privacy & Data Protection
12.1 We only use personal data provided as necessary to perform Services.
12.2 We will not share your data with third parties except as required to deliver Services.
13. Intellectual Property
All underlying formats, processes, trademarks, and material created by us remain our property unless otherwise agreed in a separate written licence.
14. Governing Law
These Terms are governed by the laws of England and Wales. Any dispute relating to these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
15. Changes to Terms
We may update these Terms from time to time. The latest version will be published on our website. Continued use of our Services after changes constitutes acceptance of the updated Terms.
